Job Description:
The Project Manager is responsible for leading and managing projects throughout the full project lifecycle, ensuring successful delivery within scope, timeline, budget, and quality expectations. This role coordinates cross-functional teams, manages stakeholder communication, mitigates risks, and ensures compliance with organizational governance and project management standards.
Key Responsibilities
- Define, document, and manage project scope, schedule, budget, deliverables, and success criteria.
- Develop and maintain project charters, project plans, timelines, and work breakdown structures.
- Monitor project progress using appropriate metrics and reporting tools to ensure timely delivery and budget adherence.
- Create, maintain, and distribute standard project management artifacts, including:
- Risk assessments
- Project charters
- RACI matrices
- Communication plans
- Project schedules
- Status reports
- Issue and change logs
- Ensure all project documentation is accurate, current, complete, and properly stored in accordance with organizational standards.
- Manage projects in alignment with VITA procurement processes and project governance frameworks.
- Facilitate requirements gathering, analysis, documentation, and validation with stakeholders.
- Provide project oversight to ensure solutions align with the operational, strategic, and financial objectives of the Agency.
- Develop and execute effective communication strategies to keep stakeholders informed throughout the project lifecycle.
- Coordinate with internal teams and stakeholders to ensure awareness of deadlines, deliverables, dependencies, and responsibilities.
- Identify, assess, track, and resolve project risks, issues, and roadblocks in a timely manner.
- Perform financial and administrative activities necessary for successful project execution.
- Collaborate with planning and finance teams to prepare budget forecasts, resource allocations, and expenditure tracking.
- Deliver detailed project status updates and financial reports to stakeholders and agency leadership.
- Facilitate project meetings, conference calls, planning sessions, and maintain meeting agendas and minutes.
- Serve as a trusted advisor and consultant to stakeholders by providing proactive communication and strategic project guidance.
- Support continuous improvement initiatives and perform additional duties as assigned.
